REDESIGNING WORK OPTIMISING MEETINGS FOR ORGANISATIONAL EFFICIENCY

CHALLENGE

Many organisations struggle with inefficient meeting structures that lead to work overload, reduced productivity, and blurred work-life boundaries. Employees often spend excessive time in meetings, leaving little room for focused work, innovation, or personal well-being. The challenge was to redesign meeting structures to improve workplace efficiency while promoting a healthier work-life balance.

PROJECT OVERVIEW

To tackle this, we conducted a literature review and surveys to identify key barriers to effective meetings and their impact on productivity. We explored how meeting culture, decision-making processes, and communication patterns influenced organisational efficiency and work-life balance.
Working closely with experts in organisational behaviour, we held workshops to design practical solutions that streamline meeting structures, ensuring that time is used effectively while supporting employee well-being.

WHAT WE DID

  1. Behavioural Research & Analysis

    • Conducted a literature and evidence review to examine best practices in meeting efficiency and work-life balance

    • Designed and distributed surveys and led expert interviews to assess how meeting structures impact productivity and time management

    • Analysed workplace communication patterns to identify key inefficiencies

  2. Intervention Design

    • Developed structured meeting frameworks to reduce unnecessary meetings and improve decision-making

    • Designed workflow optimisations that promote focused work periods and better time management

    • Created behaviourally informed recommendations to help teams balance collaboration with deep work

    Stakeholder Collaboration

    • Facilitated expert workshops to refine and test new meeting structures

    • Worked closely with organisational leaders to ensure solutions aligned with workplace dynamics

    • Designed a scalable, adaptable approach for different teams and departments

OUTCOME

The project delivered tailored meeting frameworks, decision protocols, and protected focus time practices, all grounded in behavioural evidence and organisational insights. These solutions were tested and refined with leaders and teams, resulting in a clear, sustainable approach to reduce meeting overload, free up time for deep work, and support healthier work-life balance.
